Unlike a one-off purchase, it’s an ongoing relationship — which makes it worth more scrutiny than comparing a couple of percentages on a website. Here’s what actually matters when you’re evaluating a rental management company in Spain.

Exactly what’s included at each service tier

“Full management” means different things to different companies. Ask for a specific, written breakdown of what’s included at each pricing tier — guest communication, listing management, cleaning, keyholding, maintenance, and pricing — rather than relying on a general description. If a company can’t clearly explain what’s in and out of scope, that’s worth noting before you sign anything.

How guests are screened

Who stays in your property matters as much as how often it’s booked. Ask how the company screens guests, whether they have a policy on group size or house parties, and how they handle a guest who doesn’t respect house rules once they’ve checked in.

Response times outside office hours

Guest issues don’t happen on a 9-to-5 schedule. Ask specifically how emergencies are handled at 11pm on a Sunday — is there a dedicated on-call system, or does it depend on whoever happens to be available? This is one of the clearest differences between a well-run management company and one that’s stretched too thin.

How pricing decisions are made

Ask whether pricing is actively managed based on demand and local events, or left mostly static. Ask, too, how much visibility you’ll have into pricing decisions — some owners want to review and approve major changes, others are happy to leave it entirely to the manager’s judgement. Neither is wrong, but you should know which one you’re getting.

Reporting and transparency

You should be able to see, clearly and regularly, what your property earned, what was deducted, and why. Ask how often reports are sent, what they include, and whether you can access booking and earnings data yourself at any time, rather than waiting for a monthly summary.

Flexibility around your own use of the property

If you plan to use the property yourself at any point, ask how far in advance you need to block dates, and whether there’s any penalty or complication in doing so. This is a detail that’s easy to overlook while comparing management fees, but matters a great deal in practice.

How the relationship can end

Ask about notice periods, any exit fees, and what happens to existing bookings if you decide to switch providers or resume managing the property yourself. A management company confident in its own service shouldn’t need to lock you in with restrictive terms.
